Our "Your Ohio Rabbi" Auxiliary Officiant Agreement
This Your Ohio Rabbi Basic Ceremony Agreement (the “Agreement”) is made between Rabbi LeighAnn Kopans (the “Officiant”) and the clients identified above (“Clients” or “Client”) with respect to Client’s ceremony scheduled as detailed above (the “Event”). The terms offered within this agreement remain valid for ten (10) days from offer to Client.
SERVICES: Officiant agrees to provide Wedding Officiant Services (“Services”) as an Auxiliary Officiant for Client at the date, time and location as specified in the above fields. This agreement covers Officiant's participation in a ceremony that is planned and orchestrated by a separate Primary Officiant. Officiant Services include ceremony consultation and planning regarding Officiant's isolated roles within a ceremony planned by the separate Primary Officiant, performing those roles, and registration of the marriage if the couple desires. This role may include but is not limited to: readings, blessings, liturgical chanting, and leading of rituals. If desired, one (1) meeting between Officiant and Client may take place. Officiant will communicate with Primary Officiant regarding her ceremony role. Any communication with Primary Officiant will be CCed to Client or, if it is a phone call or meeting, will be summarized via email to Client following the meeting. Officiant may agree to attend a rehearsal if she is needed, provided that rehearsal does not take place after 3:00 PM on Friday. Officiant is never available after 3:00 PM on Friday for any reason. Officiant charges an additional $180 fee for attending the rehearsal. Additional travel fees would apply for the rehearsal.
CEREMONY APPROVAL: Officiant will provide Client a detailed summary of her contribution to the ceremony no later than three (3) weeks prior to the ceremony date. Client agrees to sign off on his/her approval of this summary no later than two (2) weeks prior to the ceremony date, via email in reply to the attachment of said outline. At that point, Officiant agrees not to make changes to this part of hte ceremony without written and documented approval from the Client. As such, the Satisfaction Guarantee does not apply in the event of any dissatisfaction with the ceremony script.
SCHEDULE: The “Ceremony Start Time” listed above shall be considered the actual Event Start Time and not Guest “Arrival” or “Invitation” time. Client agrees to do everything in their power to begin the ceremony itself within twenty (20) minutes of the “Ceremony Start Time” as specified in the Agreement. Officiant will plan to arrive at the Ceremony Location sixty (60) minutes ahead of Ceremony Start Time to allow for traffic complications, last-minute ceremony questions, etc.
CHANGES: Changes to this Agreement including, but not limited to, the date, time, and/or location of the Event must be communicated in writing by Client and approved by Officiant in writing before it is confirmed. FEES AND DEPOSIT: The total cost of the Event Services is $360. This includes all officiating Services and travel up to 50 miles from Columbus, Ohio. A non-refundable 75% deposit equal to $270 + 50% travel fees ($3.00/mile if travel exceeds a total of fifty (50) miles from Columbus, Ohio) must be paid to activate this Agreement. Officiant will send an invoice to Client via email detailing fees, and, upon payment, provide a receipt to Client. At that time, the Officiant will provide preparatory services, consisting of one meeting with Client, which may take place in person or virtually. This meeting may take place with a co-officiant, wedding planner, or other professional, as applicable. Officiant will send an invoice to Client via email one (1) month before the Ceremony detailing the remainder of total fees due. The full balance of the remaining $90 + 50% travel fees ($3.00/mile if travel exceeds a total of fifty (50) miles from Columbus, Ohio) where applicable shall be received by Officiant by two (2) weeks before the Ceremony. If travel fees are required, they will be stipulated beforehand in an email by the Officiant at the time of deposit, and included on the invoice. Additional fees (such handout/program, certificate, and equipment rental) will also be included on the invoice, and may also be paid by two (2) weeks before the Ceremony. If Client does not remit payment as specified, Officiant has the right to end this Agreement without further obligation to refund money, including the Deposit, or to perform Services at the Event. The Deposit can be applied to another date and time as long as Client requests change in writing at least seven (7) days prior to the Event date and Officiant is available. If Officiant is not available at the new date and/or time, all fees paid in excess of the Deposit will be refunded upon request from Client.
CANCELLATION AND REFUNDS: Cancellations must be communicated in writing. If written notice of Cancellation of Services is provided by Client at least six (6) weeks prior to the Event date, $180 plus all travel, chuppah, and rehearsal dinner fees paid will be refunded. If written notice of Cancellation of Services is provided by Client at least seven (7) days prior to the Event date, $180 plus all travel, chuppah, and rehearsal dinner fees paid will be refunded. If written notice of Cancellation of Services is provided by Client less than seven (7) days prior to the Event date, Client shall be responsible for full payment of Services, except for travel, chuppah, and rehearsal fees, if applicable. If written notice of Cancellation of Services is not provided by Client, Client shall be responsible for full payment of Services, including travel fees, if applicable. In the unlikely event that the Officiant is unable to perform the ceremony for unforeseen circumstances (i.e. hospitalization, automobile accident, and/or transportation breakdown, etc.), Officiant shall be allowed to make reasonable attempts to provide a replacement Officiant at no additional cost to Client. In event Officiant must cancel this Agreement for Services, Client shall be refunded the full fees paid for the Services.
HOLD HARMLESS AGREEMENT: Client shall otherwise fully indemnify, hold harmless, and defend Your Ohio Rabbi from and against all claims, demands, actions, suits, damages, liabilities, losses, settlements, judgments, costs, and expenses (including but not limited to reasonable attorney's fees and costs), whether or not involving a third party claim, which arise out of or relate to any act or omission of Officiant.
MARRIAGE LICENSE: It is the Client’s responsibility to acquire a valid marriage license, if applicable, and have the marriage license in hand at the Event when the Services are rendered. The Client is also responsible for ensuring the marriage license is delivered to the Officiant's hand before the service begins.
CEREMONY SUPPLIES: Client is responsible for furnishing any accoutrements discussed during the planning meetings with Officiant, which may include but are not limited to: ketubah, wine, kiddush cup, chuppah, tallis, and a glass for smashing. Officiant will review a list of necessary ritual items with Client no less than two weeks prior to the Event. If the Event includes a sand ceremony, unity candle, flower ceremony and/or any other special feature, Client is responsible for furnishing all equipment needed to perform such feature(s). If Client is leasing the chuppah from Officiant, those terms will be outlined in the invoice. If Client has requested ceremony handout or program, Client will be responsible for printing copies. Officiant will deliver the printable file to Client no less than two weeks prior to the Event date, after which no changes may be made.
SATISFACTION GUARANTEE: On the occasion that the Client is dissatisfied with Officiant’s Services at the Event, Client must notify the Officiant and provide the reason in both writing AND a personal phone call within 48 hours of the Event start time, and all money including Deposit will be refunded.
MEDIA RELEASE: Client agrees that Officiant may use any images and stories from the Event for any means of promotion, including advertising and display on websites or blogs, unless otherwise stated by Client in writing. Clients waive any right to payment, royalties or any other consideration for the use of the images or stories.
PRIVACY: Your Ohio Rabbi does not sell, trade, or otherwise transfer to outside parties your personally identifiable or payment information.
SATISFACTION GUARANTEE: On the occasion that the Client is dissatisfied with Officiant’s Services at the Event, Client must notify the Officiant and provide the reason in both writing AND a personal phone call within 48 hours of the Event start time, and all fees in excess of the Deposit will be refunded.
